Terms of Service

1. Acceptance of Terms

These Terms of Service ("Terms") are a legal agreement between you and WorshipWire ("we," "us," or "our") governing your access to and use of the WorshipWire mobile and web applications, website, and related services (collectively, the "Service").

By creating an account, accessing, or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms or the Privacy Policy, you may not use the Service.

If you are using the Service on behalf of an organization (such as a church), you represent that you have the authority to bind that organization to these Terms.

2. Definitions

"User" means any person who creates an account or uses the Service.

"Church" means a church, ministry, or other community created on the Service by a user. References to "your church" mean a church you create or administer.

"Church Admin" or "Administrator" means a user who creates a church or is designated by a creator as an administrator with management rights over that church.

"Content" means any text, images, files, or other materials uploaded, posted, or transmitted through the Service.

"User Content" means Content that you or other users post, including posts, messages, comments, prayer requests, profile information, and images.

"Platform Admin" means a WorshipWire team member with administrative access to the platform for the purposes of support, moderation, and service operation.

"Subscription" means a paid plan a Church purchases that determines the features available to it, applicable member or storage limits, and the recurring fees due.

3. Eligibility

You must be at least 13 years of age to use the Service. If you are under 18, you should have your parent or guardian review these Terms and supervise your use of the Service.

You must not be prohibited from using the Service under the laws of your jurisdiction. You represent that the information you provide when registering is accurate and that you will keep it updated.

4. Your Account

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us promptly of any unauthorized use of your account.

You may delete your account at any time from your profile settings. Upon deletion, your personal data will be removed in accordance with our Privacy Policy. Content you have posted that has been shared or stored by your church may be retained by church administrators; we and church admins may retain data as needed for the operation of the Service or as required by law.

5. Use of the Service — Users

You will use the Service only for lawful purposes and in accordance with these Terms. You are responsible for all User Content you post and for your conduct on the Service.

You will not use the Service to: (a) violate any law or the rights of others; (b) harass, abuse, defame, or threaten others; (c) post Content that is illegal, obscene, harmful, or that infringes intellectual property or privacy rights; (d) impersonate any person or entity; (e) interfere with or disrupt the Service or its security; (f) scrape, copy, or automate access to the Service except as we expressly allow; or (g) use the Service for commercial purposes unrelated to your church or community except with our prior written consent.

You also agree that you will not collect, store, or transmit through the Service: (a) Social Security Numbers, government-issued ID numbers (e.g., passport, driver’s license), or other sensitive identifiers unless we expressly provide a designated feature for them; (b) personal data for the purpose of selling, licensing, or transferring it to third parties for commercial gain; (c) content that promotes or glorifies unlawful violence, hate crimes, terrorism, or incitement to physical harm; (d) nudity, sexually explicit material, or other graphic content that is inappropriate for a church or community setting; (e) medical or health records beyond limited emergency-type information (e.g., allergies, care instructions) that may be needed for events or check-in; or (f) banking details, full credit card numbers, or similar financial information outside any secure payment features we provide.

We may use automated tools (including content moderation via OpenAI and Google Cloud Vision) to help detect prohibited content or conduct. We are not obligated to monitor all Content but may remove or refuse to display Content that we believe violates these Terms or is harmful, without prior notice.

6. Churches and Community Creators

If you create or administer a Church on the Service, you act as the responsible party for that Church and its use of the Service. WorshipWire provides a platform and tools; we do not operate, control, or take responsibility for your Church, its members, or its Content.

As a Church creator or administrator, you take full responsibility for: (a) moderation of Content and conduct within your Church (including posts, chat, images, directory, events, and all other user-generated content); (b) compliance with applicable laws (including data protection, child safety, and any obligations specific to religious or nonprofit organizations); (c) decisions you make regarding membership, roles, and use of Church features; and (d) any harm or claims arising from Content or conduct within your Church. You agree to use the moderation and administrative tools we provide in a reasonable and lawful manner.

Member directory and data export. As an administrator, you may have access to exportable member data (such as names, contact information, household relationships, and membership status). You agree to use exported data solely for the legitimate operations of your Church; to keep it reasonably secure; to comply with applicable privacy laws; to honor any opt-out, correction, or deletion requests from members; and not to sell, license, or transfer exported member data to third parties for marketing or commercial gain. Once exported, you (and your Church) act as an independent controller of those copies and are responsible for their lawful use.

We may remove or suspend a Church or account if we believe there is a violation of these Terms, illegal activity, or a risk to users or the Service. We are not liable to you or your Church for any such action.

7. User Content and Licenses

You retain ownership of User Content you post. By posting User Content, you grant WorshipWire a non-exclusive, royalty-free, worldwide license to use, store, display, and distribute that Content as needed to operate and provide the Service (including to other users and Church admins as appropriate for the features you use).

You acknowledge that profile information you choose to share — including your name, profile photo, bio, username, and Church membership — will be displayed to other members of any Church you join, and you grant the limited rights necessary for that display. We will not use your name, likeness, or other identifying information in external advertising or promotional materials without your separate consent, except that we may use de-identified or aggregated information about how the Service is used.

You represent that you have the right to post your User Content and that it does not violate these Terms or the rights of any third party. We do not endorse any User Content and disclaim all responsibility for it.

If you or your Church post content that includes copyrighted material — such as song lyrics, sheet music, musical arrangements, Bible verse translations, or other published text or media — you represent and warrant that you or your Church have the appropriate license, subscription, or other right to use and display that material (for example, through CCLI, OneLicense, or direct publisher permissions). You are responsible for maintaining and complying with the terms of any such licenses. WorshipWire does not grant you any license to third-party copyrighted content; we are not responsible if you or your Church post material without the required rights.

Feedback. If you send us feedback, suggestions, or ideas about the Service, you grant us a perpetual, irrevocable, royalty-free, worldwide license to use that feedback for any purpose without obligation to you.

8. Families and Children

Family features (household, child/teen profiles, and child check-in) are for use by parents and guardians. When you add a child under 13 to your household, you represent that you are the parent or legal guardian of that child. You must confirm at the time you add the child that you consent to our collection and use of that child’s information (such as name, allergies, and emergency contacts) solely for safety and check-in purposes.

We do not allow children under 13 to create accounts or use the Service directly; only you provide and manage their information. Our practices are designed to comply with applicable children’s privacy laws, including the U.S. Children’s Online Privacy Protection Act (COPPA). You may update or remove your child’s information at any time from the relevant section of the app.

Childcare ministry and incident reporting. Your Church is solely responsible for the operation of its childcare and children’s ministry, including supervision, training, and screening of staff and volunteers. The Service may provide check-in, incident reporting, and notification tools, but you and your Church are responsible for using them in compliance with applicable mandatory-reporting, child-protection, and recordkeeping laws (which vary by state and by denomination). Allergy and medical notes entered for a child are provided to authorized Church staff to help with safety and care; they are not medical advice and are not a substitute for emergency services or professional medical care. WorshipWire does not investigate, verify, or independently respond to childcare incidents reported through the Service.

9. Privacy

Our collection and use of personal information is described in our Privacy Policy. By using the Service, you consent to that collection and use. Church admins may also have access to data related to their Church (e.g., directory, membership, check-in) as necessary for the operation of Church features.

9.1. No End-to-End Encryption; Platform Access

WorshipWire is a church and community management platform, not an encrypted or secure-messaging service. Content you post or send through the Service (including messages, posts, comments, prayer requests, directory information, and files) is stored and processed on our systems. We use industry-standard security (such as encryption in transit and at rest via our providers) to protect data, but we do not provide end-to-end encryption. WorshipWire (the platform operator) and, where applicable, Church administrators may have access to content and data as needed to operate the Service, enforce these Terms, comply with law, and protect users. Do not use the Service for communications or content that you expect to be private from the platform or your church leadership in the way that encrypted messaging apps protect messages.

10. Email, SMS, and Push Notification Communications

By creating an account and opting in to communications, you consent to receive emails, SMS messages, and push notifications from WorshipWire and from churches you belong to through the Service. These communications may include church announcements, event reminders, prayer request updates, administrative notifications, and other messages related to your use of the Service.

Email communications are delivered through our third-party email provider, SendGrid (a Twilio company). Push notifications are delivered through Firebase Cloud Messaging (FCM).

You may opt out of email and SMS communications at any time by updating your notification preferences in the app or by using the unsubscribe link in any email. You may disable push notifications through your device settings. Opting out of communications may affect your ability to receive important church updates and event notifications.

SMS specifics. By providing your phone number and opting in to SMS, you give your prior express consent to receive text messages at that number from WorshipWire and from churches you belong to, including transactional messages (such as event reminders or check-in confirmations) and, where you have opted in, informational church announcements. Reply STOP to any text to opt out of SMS from WorshipWire, or HELP for assistance. Standard message and data rates may apply. Message frequency varies based on your activity and the settings of the churches you belong to. Mobile carriers are not liable for delayed or undelivered messages. We will retain a record of your SMS consent and opt-out for compliance purposes.

11. Subscriptions and Billing

Some features of the Service are offered to Churches on a paid Subscription basis. The plan a Church selects determines the features available to that Church, applicable member or storage limits, and the recurring fees due. Only an authorized Church Admin may purchase or change a Subscription on behalf of a Church.

Auto-renewal. Unless otherwise stated at checkout, paid Subscriptions automatically renew at the end of each billing period (monthly or annual) at the then-current rate for the plan, until cancelled. By starting a paid Subscription, the Church authorizes WorshipWire and our payment processor (Stripe) to charge the payment method on file for each renewal until the Subscription is cancelled.

Cancellation. You may cancel a Subscription at any time from the Church admin billing settings or by contacting us at info@worshipwire.io. Cancellation takes effect at the end of the current billing period; the Church continues to have access to paid features until then. Except where required by law, we do not provide refunds or credits for partial billing periods, unused features, or amounts paid before cancellation.

Fees, taxes, and price changes. All fees are stated in U.S. dollars and are exclusive of applicable taxes, which you are responsible for. We may change Subscription pricing on at least 30 days’ notice before the next renewal. If you do not accept a price change, you may cancel before the new price takes effect; continued use after the new price takes effect constitutes acceptance.

Failed payments and suspension. If a charge fails, we may retry the payment, notify the Church Admin, suspend or downgrade access to paid features, and ultimately terminate the Subscription for non-payment. During a non-payment grace period we may retain your data per our Privacy Policy, but Content and member data may be deleted after extended non-payment.

Plan limits, downgrades, and exports. Plans include member, storage, or other limits identified at the time of purchase. If a Church exceeds a limit, we may notify the Church Admin and require an upgrade, or restrict the affected feature. On downgrade or cancellation, you are responsible for exporting any data the Church wishes to retain before access to paid features ends.

Beta and promotional pricing. From time to time we offer beta or promotional pricing (for example, our 2025–2026 beta cohort received the first year free and a 50% lifetime discount on the plan selected during beta). Promotional pricing is honored according to the terms communicated at signup, subject to: (a) your continued compliance with these Terms and timely payment after any free period; (b) reasonable changes we may make to plan structures or features; (c) the discount applying to the equivalent successor plan if we restructure plans; and (d) discounts not stacking with other offers unless we say so in writing.

Chargebacks. If you dispute a charge with your card issuer or bank without first contacting us in good faith, we may suspend the Subscription pending resolution. We may refer wrongful chargebacks for collection and recover our costs of doing so to the extent permitted by law.

12. Donations and Giving

WorshipWire does not process donations, tithes, or other payments to your Church. The Service provides a link-out feature that lets Church Admins direct members to their own third-party giving platforms (for example, Tithe.ly, PushPay, Givelify, PayPal, Venmo, Cash App, Square, Stripe, EasyTithe, Planning Center Giving, or Subsplash).

When you tap a giving link, you leave the Service (or use an in-app browser) and transact directly with the third-party platform under that platform’s own terms and privacy policy. WorshipWire: (a) does not collect, hold, or transmit donation funds; (b) does not issue charitable tax receipts (your Church and the giving platform are responsible for that); (c) does not control fees, refunds, chargebacks, or settlement on the giving platform; (d) is not responsible for outages, security incidents, fraud, or errors on third-party giving platforms; and (e) does not endorse any particular giving platform by listing or linking to it. Your Church is responsible for the giving links it configures, the platforms it chooses, and any tax, financial, or legal compliance related to donations received.

13. Background Checks

WorshipWire does not perform background checks and is not a consumer reporting agency. The background check tracking feature lets Church Admins record the status, type, and expiration of background checks they obtained from a separate background check provider.

If your Church uses background check information in employment or volunteer decisions, you are responsible for complying with the federal Fair Credit Reporting Act (FCRA) and any applicable state and local laws (including ban-the-box and fair-chance laws), including obtaining proper consent before procuring a report, providing required disclosures, and following adverse-action procedures. WorshipWire does not provide consumer reports, does not give legal advice on background screening, and is not responsible for any decision you make based on background check information you store in the Service.

14. Apple App Store and Google Play

If you obtained the WorshipWire mobile app through the Apple App Store or Google Play (each, an “App Store”), you acknowledge that these Terms are between you and WorshipWire only, and not with the App Store. The App Store is not responsible for the Service, its content, or any claims relating to it.

Apple App Store. To the extent the Service is downloaded from the Apple App Store, the following additional terms apply: (a) Apple has no obligation to provide maintenance or support for the Service; (b) Apple is not responsible for addressing any claims by you or any third party relating to the Service, including product liability, failure to conform to legal or regulatory requirements, or consumer protection claims; (c) in the event of any third-party claim that the Service or your use of it infringes that party’s intellectual property rights, Apple is not responsible for the investigation, defense, settlement, or discharge of the claim; (d) Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you; and (e) you represent that you are not located in a country subject to a U.S. Government embargo or designated as a “terrorist supporting” country, and that you are not listed on any U.S. Government list of prohibited or restricted parties.

Google Play. To the extent the Service is downloaded from Google Play, you also agree to comply with the Google Play Terms of Service. Your license to the Service is governed by these Terms and not by the standard end-user license agreement of either App Store.

15. Third-Party Services and Integrations

The Service relies on third-party service providers to deliver core functionality. By using the Service, you acknowledge and agree that your data may be processed by the following third-party services in accordance with their respective privacy policies and terms:

Firebase / Google Cloud Platform: Hosting, authentication, real-time database (Firestore), file storage (Cloud Storage), analytics, performance monitoring, and push notification delivery.

SendGrid (Twilio): Email delivery for transactional and church communication emails.

Sentry: Application error monitoring and crash reporting to help us identify and resolve technical issues.

OpenAI: Automated text content moderation to help detect prohibited content and maintain community safety.

Google Cloud Vision: Automated image safety screening to detect potentially inappropriate visual content.

We select third-party providers that maintain appropriate security practices, but we are not responsible for the acts or omissions of these providers. Each provider’s use of your data is governed by their own privacy policy and terms of service.

16. Platform Administration and Data Handling

WorshipWire platform administrators (members of the WorshipWire team) may access user data and content for the following purposes: (a) providing technical support and troubleshooting; (b) content moderation and enforcement of these Terms; (c) investigating reports of abuse, harassment, or illegal activity; (d) maintaining the security and integrity of the Service; and (e) complying with legal obligations.

Platform administrators follow internal data handling policies and access data only as necessary for the purposes described above. Access to user data is logged and subject to internal audit. Platform administrators do not access user data for personal use or share it with unauthorized parties.

17. Intellectual Property

The Service (including its design, features, and our names and logos) is owned by WorshipWire or our licensors and is protected by copyright, trademark, and other laws. You may not copy, modify, or create derivative works of the Service or use our trademarks without our prior written permission.

18. Copyright Claims (DMCA)

We respect the intellectual property of others and expect users to do the same. We may remove or disable access to Content that we believe infringes copyright, and we may terminate accounts of repeat infringers.

If you believe that Content on the Service infringes your copyright, please send a written notice to our designated copyright agent at info@worshipwire.io. Your notice must include: (a) your physical or electronic signature; (b) identification of the copyrighted work you claim has been infringed; (c) identification of the material that you claim is infringing and where it is located on the Service; (d) your address, telephone number, and email address; (e) a statement that you have a good-faith belief that the use is not authorized by the copyright owner, its agent, or the law; and (f) a statement, under penalty of perjury, that the information in the notice is accurate and that you are authorized to act on behalf of the copyright owner.

If you believe your Content was removed or disabled by mistake or misidentification, you may send a counter-notice that includes the information required by the DMCA. We may share notices and counter-notices with the affected user and others as needed to resolve the claim. Misrepresenting that material is infringing or was removed by mistake may result in liability.

19. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. WE DISCLAIM ALL WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components.

We are not responsible for User Content, for the conduct of users or Churches, or for any decisions made by Church admins. Use of the Service is at your own risk.

20. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WORSHIPWIRE AND ITS AFFILIATES, OFFICERS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE OR THESE TERMS, WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), OR ANY OTHER THEORY.

IN NO EVENT SHALL OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THE SERVICE OR THESE TERMS EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS BEFORE THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS ($100).

Some jurisdictions do not allow the exclusion or limitation of certain damages; in such jurisdictions, the above limitations may not apply to you to the extent required by law.

21. Indemnification

You agree to indemnify, defend, and hold harmless WorshipWire and its affiliates, officers, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising out of or related to: (a) your use of the Service; (b) your User Content; (c) your violation of these Terms or any law; or (d) if you are a Church creator or admin, any claim arising from your Church, its Content, its members, or your administration of the Church.

22. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate your access to the Service, or remove your Church, if we believe you have violated these Terms or for any other reason we deem appropriate, with or without notice.

Upon termination, your right to use the Service ceases. Sections that by their nature should survive (including User Content licenses already granted, Disclaimers, Limitation of Liability, Indemnification, Dispute Resolution and Arbitration, Governing Law, and General) will survive termination. Outstanding fees and charges remain due after termination.

23. Dispute Resolution; Arbitration; Class Action Waiver

Please read this section carefully. It limits the ways you can seek relief against WorshipWire and requires you to resolve most disputes by individual arbitration.

Informal resolution. Before filing a formal claim, you agree to first try to resolve the dispute by sending a written notice describing it to info@worshipwire.io. The parties will attempt in good faith to resolve the dispute within sixty (60) days of the notice.

Binding individual arbitration. Except for the carve-outs below, any dispute, claim, or controversy arising out of or relating to these Terms or the Service (a “Dispute”) will be resolved by binding individual arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules then in effect. The arbitration will be conducted by a single arbitrator, in English, with the seat in Philadelphia, Pennsylvania (or by telephone or video conference if you so elect for any claim under $10,000). The arbitrator has exclusive authority to resolve any dispute about the interpretation, applicability, or enforceability of this arbitration agreement, except that a court (not the arbitrator) decides whether the class-action waiver below is enforceable. Judgment on the arbitrator’s award may be entered in any court of competent jurisdiction.

Class action waiver. YOU AND WORSHIPWIRE EACH AGREE THAT ANY CLAIMS WILL BE BROUGHT ONLY ON AN INDIVIDUAL BASIS, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS, COLLECTIVE, CONSOLIDATED, OR REPRESENTATIVE ACTION. The arbitrator may not consolidate more than one person’s claims, and may not preside over any form of representative or class proceeding. If this class-action waiver is held unenforceable as to a particular claim, that claim (and only that claim) will be severed from arbitration and brought in a court of competent jurisdiction; the remaining claims remain in arbitration.

Carve-outs. Either party may: (a) bring a qualifying individual claim in small-claims court instead of arbitration; (b) seek temporary or preliminary injunctive or equitable relief in court to protect intellectual property rights or to stop ongoing material breaches; and (c) if a single law firm or coordinated group files 25 or more substantially similar arbitration demands against WorshipWire, the parties will work in good faith with AAA on a bellwether or staged arbitration process and reasonable cost allocation before the remaining demands proceed.

30-day right to opt out of arbitration. You may opt out of this arbitration agreement by sending an email to info@worshipwire.io with the subject line “Arbitration Opt-Out” and your full name and account email, within 30 days of first accepting these Terms or within 30 days of a material change to this section. Opting out does not affect any other provision of these Terms.

Time limit. To the extent permitted by law, any claim must be brought within one (1) year after the cause of action arises, or it will be permanently barred.

24. Governing Law and Venue

These Terms are governed by the laws of the Commonwealth of Pennsylvania and applicable U.S. federal law, without regard to conflict-of-law principles. If for any reason a Dispute is not subject to arbitration (or arbitration is held unenforceable as to a particular claim), that Dispute will be resolved exclusively in the state or federal courts located in Philadelphia, Pennsylvania, and you consent to the personal jurisdiction of those courts.

25. Changes to the Service; Force Majeure; Assignment; Notices; Export Controls

Changes to the Service. We may add, remove, modify, or restrict features of the Service at any time, including features available only on certain plans, beta features, or features provided by third parties. We will use reasonable efforts to give advance notice of material changes that adversely affect paid features in use.

Force majeure. Neither party is liable for failure or delay in performance caused by events beyond its reasonable control, including natural disasters, war, terrorism, civil unrest, labor disputes, government action, public-health emergencies, internet or utility outages, or third-party service failures.

Assignment. You may not assign or transfer these Terms or your account without our prior written consent, and any attempted assignment without consent is void. We may assign these Terms in connection with a merger, acquisition, sale of assets, financing, or by operation of law, on notice to you.

Notices. We may give you notice by email to the address on your account, by in-app notification, or by posting on our website. You may give us legal notice at info@worshipwire.io or by U.S. mail to WorshipWire, 30 S 15th St Ste 1550 #820821, Philadelphia, PA 19102.

Export controls and sanctions. You represent that you are not located in, under the control of, or a national or resident of any country subject to U.S. embargo or designated by the U.S. Government as a “terrorist supporting” country, and that you are not listed on any U.S. Government list of prohibited or restricted parties. You agree to comply with all applicable U.S. and international export, re-export, and sanctions laws when using the Service.

U.S. Government users. The Service is “commercial computer software” and any related documentation is “commercial computer software documentation” as those terms are used in FAR 12.212 and DFARS 227.7202. Any use, modification, reproduction, release, performance, display, or disclosure of the Service or documentation by the U.S. Government is governed solely by these Terms.

26. General

Entire agreement: These Terms, together with the Privacy Policy and any other policies we make available in the app, constitute the entire agreement between you and WorshipWire regarding the Service.

Severability: If any provision of these Terms is held invalid or unenforceable, the remaining provisions will remain in effect.

Waiver: Our failure to enforce any right or provision of these Terms will not be deemed a waiver of such right or provision.

Changes: We may update these Terms from time to time. We will indicate the date of the last update. If we make material changes, we may notify you in the app or by email. Your continued use of the Service after changes are posted means you accept the updated Terms. If you do not agree, you must stop using the Service.
